This policy covers the processing of personal data by Fundación Rodeemos el Diálogo (ReD), whose registered address is at CRA 13 # 113 – 55 in Bogotá, Colombia. ReD is committed to protecting the privacy of your personal information in our efforts to build peace and dissemination of information relevant to our work. Likewise, our aim is to provide the best user experience possible through our digital media. We want our websites to be safe and enjoyable for everyone.

ReD, as any other company that stores or processes personal information about UK citizens, EU citizens, Colombian citizens or any user, has a legal duty to protect any personal information and use it in a transparent manner. For this reason, and taking into account our audience, we adhere to what is established in Data Protection Act 2018 (UK), GDPR (EU states), and Law 1581 of 2012 (Colombia). ‘Personal data’ is any sensitive information relating to a living individual who can be identified, either directly or indirectly, from that information. This could include your name, email address, postal address or telephone number, or information collected online and used to identify you.

This policy sets out the basis on which any personal data we collect from you or that you provide to us is collected and processed by us, whether online through our websites (uk.rodeemoseldialogo.org or rodeemoseldialogo.org), via telephone, email, in letters or in any other correspondence. It is important to clarify that ReD doesn’t keep or gather information that is not deemed necessary, and below we seek to be transparent on detailing what information we are storing and how we are using it. Info we may collect and how your info may be used

We may collect and process the following information about you:

Mailing listWhen you sign up to our mailing list, we require your name and email and ask for your organisation/university.
These will be used for mailing campaigns purposes related to our work or that of others where we have an affiliation or partnership. This data is administered through a third party: Mailchimp.
Posting a comment on the websiteWhen posting a comment on the website we collect name, email and IP in order to track comments and to help spam detection.
Attending an eventWhen you register for any of our events, we ask for specific personal data: name, surname and email. This is in order to keep a record for our events and be able to send the information and details for joining the virtual meeting when online or for the specific place when held in person. This data is collected through a third party: Eventbrite.
Application to become a memberWhen you apply to become a member of ReD, we require your full name, email and ask for your phone number and city/country. You may also voluntarily provide other personal information to us in response to the questions asked. This data is collected with your explicit consent. This information is used to process your application and communicate with you through the application process.
Becoming a memberWhen you become a member, you sign a commitment form, where you provide your name and signature.
We also ask you to provide specific personal data: name, surname, phone number(s), email(s), social media handles, birthday, city and country of residence. This data is collected with your explicit consent.
This information is collected in order to administer membership, facilitate communication between members, coordinate our work and keep you updated on developments and events that might be of interest. 
Looking after our members’ wellbeing In the course of your membership, we are conscious of your wellbeing and employ a check-in process of informal chats to support you in your work. As part of this process, we record brief snapshots against your first name of pertinent information on your current state and the impact on your work with us. No historic information is held, the information is overwritten with each new check-in. Detailed personal circumstances are not explicitly recorded or held, only referred to generically, and this information is only accessible to the membership team. This information is deleted once you cease to become a member.
Adhoc interactionsWe may also ask you for information when you report a problem with our website and if you contact us, we may keep a record of that correspondence.

This website is making use of essential cookies associated with the functionality of the website, and more specifically, with the functionality of the CMS used, WordPress. It also makes use of Google Analytics in order to gather anonymous information that helps us to create better strategies for the diffusion of information and proposal of new content. We don’t store IPs, names, or information that can identify any user at any given time.

ReD uses the following third parties and services to use and store your data:

We share the information with third parties that provide services for us. However, we guarantee that your data is never sold to other companies.

We will take all steps reasonably necessary to ensure that your data is treated securely as we do and in accordance with this privacy policy. Where we have provided you with login details to access specific institutional accounts, you are responsible for keeping these details safe and confidential. We ask you not to share a password (or other login information) with anyone. It must be recognised that, unfortunately, the internet is not 100% secure and no transmission of information is therefore completely without risk. We will do our very best to protect your personal data, but we cannot guarantee the security of your data transmitted to our Site. Any transmission is always then completed at your own risk. Information we receive, we will process using strict procedures and security features to try to prevent unauthorised access.

Access to information is tightly controlled and only provided to specific members or teams where there is a legitimate interest and need. In particular, all information pertaining to membership is accessible solely to the transnational membership team of ReD, unless for the legitimate interests set out above with respect to coordinating internal work or facilitating communication between members, or unless permission is otherwise sought and obtained.

How long we store your info for

We will hold your personal information on our systems for as long as is necessary to operate the services we provide to you in accordance with legal requirements. Where your information is no longer required, we will ensure it is disposed of in a secure manner.

For those who apply to become a member of ReD, the responses you provide on your application form will be kept as part of your member profile with us. These will be deleted on cessation of your membership or in the event of being unsuccessful at the interview stage. Your consent to retain contact information may be sought when terminating your membership with us should you choose to continue as a ‘Friend’ of ReD.

Your rights 

You as a user have the right to be informed about the information we have about you. ReD also acknowledges your right to be forgotten or, in other words, your right that any person would have to remove any information stored in any of our systems or partner services. 

More specifically, you have the right to request:

  • Access to the personal data we hold about you.
  • The correction of your personal data when incorrect, out of date or incomplete.
  • The erasure of your personal data.
  • That we stop any consent-based processing of your personal data after you withdraw that consent.
  • The right to request a transfer of your data to another service provider.

To exercise any of these rights, you need to contact us via email, clearly setting out your request. We will adhere to the GDPR timescales which are 1 month as maximum to completely finalise the process. ReD does not charge any fee for processing any requests of this nature. Please note, we may ask you for further proof of your identity before sharing any personal data that we hold.

Changes to our Privacy Policy

We keep our privacy notice under regular review. This privacy notice was last reviewed and updated on 14 February 2021. Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by email. By continuing to use our site, you shall be deemed to have accepted such changes.
